Purpose. This procedure describes how a job card is raised, what it must contain, how it moves through the workshops and field crews, and how it is closed so that hours, materials and records are complete for invoicing and traceability.

1.Raising a job card

A job card is raised in the job card register by the Engineering Office when a quote is accepted or a customer issues a purchase order. The job card must carry the customer, the customer order reference, a description of the work, the drawing numbers and revisions, the quoted hours by department, the required delivery date and any customer hold points or specifications. Work must not start in the workshop without a job card number.

2.Contents attached to the job card

The job card pack must include the current drawings, the bill of materials, the applicable welding procedure specifications, the inspection and test plan where the customer requires one, and the job safety analysis. The supervisor must check the pack before allocating the job and must return an incomplete pack to the Engineering Office.

  • Drawings at the revision stated on the job card
  • Bill of materials with material grades and certificate requirements
  • Welding procedure specifications for each joint type
  • Inspection and test plan or the standard inspection checklist
  • Job safety analysis signed by the crew

3.Working the job

Workers must record their hours against the job card daily, either on the workshop terminal or the paper timesheet for field work. Material issued from stores must be recorded against the job card with the heat number for traceable material. Any change to scope, drawing or specification must be raised with the Engineering Office as a variation before the work is done.

4.Status and progress

The job card status must be kept current in the register: Quoted, Scheduled, In progress, On hold, Awaiting inspection or Complete. A job placed On hold must have the reason recorded. The Engineering Office reviews all open job cards each Monday and reports late jobs to the General Manager.

5.Closing a job card

A job card can only be closed when the final inspection is signed, all weld records and test reports are attached, hours and materials are complete and the delivery docket or customer sign-off is filed. The supervisor closes the job in the register and the Engineering Office releases it for invoicing.

6.Records

Closed job card packs will be retained for ten years, or for the life of the asset where a customer specification requires it. Packs are scanned to the document library and the paper originals archived.
